RingCentral AI Receptionist
Also known as: RingCentral AIR, RingCentral AI Receptionist (AIR)
RingCentral AI Receptionist answers business calls around the clock in six languages, answers from FAQs generated from a company description and from knowledge bases of websites and documents, transfers by name from the company directory or by plain language context rules, texts callers booking links, and books appointments against Google or Outlook calendars. It runs as a standalone plan with 100 minutes or as a RingEX add on, and admins test it by chat or call before assigning it to call handling.
RingCentral, Inc. is the cloud communications company behind the RingEX phone system, video, contact center and events products. AI Receptionist, also called AIR, is one of its product lines, with its own page, plans and free trial, sold standalone in the US and Canada and as a RingEX add on there and in the UK, Australia and the EU; it can also sit in front of other cloud, on premises or hybrid phone systems through call forwarding or SIP. RingCentral reports results such as 60 percent of member calls resolved completely by the receptionist at Iron Workers International.
Admins build a receptionist in the Admin Portal's AIR Studio with a guided setup: a name, a voice, a primary and an additional language, a company description that also seeds an AI generated FAQ list, location and business hours pulled from company settings, and a greeting with optional announcements before or after it. Skills are then switched on from a skills library. The FAQ skill holds questions and answers that can be edited, toggled, cleared and regenerated. Knowledge bases in the Knowledge hub take website URLs and PDF, Word, CSV or plain text files and can be shared across receptionists.
Transfer by name routes callers to anyone in the company or site directory, minus excluded extensions, and Transfer by context sends callers to an extension or an outside number when plain language rules match what they say. Send text messages lets the receptionist text from a chosen extension and number, including a link to the business's booking page, and appointment booking can also check a connected Google or Outlook calendar in real time. A backup extension takes calls the receptionist cannot resolve, handoffs carry a call summary, and callers can switch among English, Spanish, French, Italian, German and Portuguese mid call. The receptionist now answers inbound texts as well.
The standalone plan starts at $49 a month with 100 minutes, the RingEX add on at $39 a month with 100 minutes, and usage past the included minutes costs $0.50 a minute billed in 30 second increments, with extra minute bundles available and a 14 day free trial on both. RingCentral holds SOC 2 and SOC 3 reports, HITRUST and PCI DSS certification and supports HIPAA and GDPR, and only admins with Phone System or Auto Receptionist permissions manage the receptionist. CRM sync with Salesforce, HubSpot and Zoho is marked coming soon on the product page.
The receptionist fits RingCentral customers and other small and mid sized businesses that want an AI front desk on their main number, answering from their website and documents and routing through the directory they already maintain, with per minute pricing and a quick trial. It fits less well for teams that need actions in their own systems during the call, outbound calling, memory of returning callers, a stated model or a choice of data region.

Company and site directories for transfer by name; extensions and external numbers for transfer by context; RingCentral texting numbers for SMS; Google and Outlook calendars for real time booking, plus any booking page sent by SMS link. Knowledge bases take websites and PDF, Word, CSV and plain text files. CRM sync with Salesforce, HubSpot and Zoho and ecommerce connections are marked coming soon. RingCentral's platform REST API and MCP servers (RingEX Phone, Chat and Admin, OAuth) cover call logs, AI call notes, extensions and answering rules around the receptionist.
In practice
A behavioral health practice uploads its intake policies and service list to a knowledge base, lets the receptionist answer new patient questions at night and text a booking link, and sends anything urgent to a backup extension.
A construction firm with several sites writes context rules that send callers asking about a project in a given city to that site's office, while callers asking for a person by name go straight to them from the directory.
A union adds Spanish as an additional language, generates an FAQ list from its company description, and resolves routine member questions without a staff member picking up.

Actions on a call come from a fixed set of skills: transferring by name through the company or site directory, transferring by context to an extension or outside number, texting the caller from a chosen extension and number, and booking either by texting a link to the business's booking page or by checking a connected Google or Outlook calendar in real time. Connections to CRM, ecommerce and messaging tools, including Salesforce, HubSpot and Zoho updates, carry a coming soon marker on the product page, and there is no way to add custom tools or call an API during a conversation. Behavior is assembled from skills switched on in AIR Studio, custom greeting, location and business hours, FAQs, knowledge bases, appointment booking, transfer by name, transfer by context and texting, with plain language context rules deciding where a caller goes and a backup extension catching what the receptionist cannot resolve. Receptionists are assigned through a site's call handling, an IVR menu or a direct number, so the phone system decides when each one answers. There is no flow designer for the conversation, no chaining of agents and no work that continues after the call. The Knowledge hub holds named knowledge bases built from website URLs and uploaded PDF, Word, CSV or plain text files, and each receptionist selects which knowledge bases it draws on, so several receptionists can share one. A separate FAQ skill keeps question and answer pairs that are generated from the company description at setup and can be edited, toggled, added, cleared or regenerated with AI. Location and business hours come from company settings and can be overridden per site. Sourceassets.ringcentral.com/us/guide/managing-ai-receptionist-skills.pdfread 2026-10-18 |

Complex calls go to a person through transfer by name or by context rules, with a call summary attached so the caller does not repeat themselves, and a backup extension takes any call the receptionist cannot resolve. Admins can exclude extensions from the directory it transfers to and switch each skill on or off. Bookings and texts proceed without a person approving them first. Only administrators holding the Phone System or Auto Receptionist permissions in RingCentral's role based Admin Portal can create, change or delete a receptionist, and excluded extensions keep chosen staff out of its transfers. RingCentral's trust center lists SOC 2 and SOC 3 reports, HITRUST and PCI DSS certification, and HIPAA and GDPR programs for its cloud communications platform, which hosts the receptionist. | Observability & Auditability | Partial |

Admins keep track of each interaction through call transcripts and AIR analytics, and after launch they can spot gaps in the receptionist's answers and improve a response with one click. AI generated call notes and transcripts are also retrievable through RingCentral's platform tools by telephony session. Which skill fired on a call, with its inputs and results, is not shown as a trace, and no audit of the receptionist's configuration changes appears. | Memory & State Persistence | Not documented |

Within a call the receptionist keeps track of what the caller has said and passes a summary along when it transfers. Its setup and skills cover company information, knowledge, booking, transfers and texting, and none of them keeps details about a caller for the next conversation. Each call starts from the receptionist's configuration rather than from a record of earlier calls. Sourceassets.ringcentral.com/us/guide/settingup-updating-your-ai-receptionist.pdfread 2026-10-18 |

| Deployment & Data Residency | Not documented |
|
The receptionist runs in RingCentral's cloud, sold standalone in the US and Canada and as a RingEX add on in the US, Canada, the UK, Australia and the EU, which describes where it can be bought rather than where its data lives. It can sit in front of other cloud, on premises or hybrid phone systems through call forwarding or SIP, which is connectivity rather than a deployment option. No region selection or private deployment is offered for the receptionist itself. Sourceringcentral.com/ai-receptionist.htmlread 2026-10-18 |

A guided setup produces a working receptionist from a name, voice, languages, a company description and the company's hours, and the description seeds an AI generated FAQ list. Further abilities come from a skills library, from custom greeting and knowledge bases to booking, transfers and texting, that admins add to each receptionist. Industry examples on the product page, from banks and clinics to construction and real estate, show setups rather than packaged agents to adopt. Calls reach the receptionist when it is assigned to a site's business hours or closed hours call handling, to an IVR menu option or to its own direct number, and other phone systems can forward calls to it or connect by SIP. It now also answers inbound text messages, including booking appointments by text, and callers can move among English, Spanish, French, Italian, German and Portuguese mid conversation. It answers inbound traffic only, with no outbound calling, schedule or API request that starts a conversation. Sourceringcentral.com/ai-receptionist.htmlread 2026-10-18 |

| Model Flexibility & Routing | Not documented |
|
Admins choose a voice from several professional options, a primary language and an additional language, but the language model behind the receptionist is not named anywhere in its product page, pricing page or admin guides, and no setting selects one. RingCentral's MCP servers let outside models such as those from OpenAI, Anthropic or Google read RingCentral data, which is a separate direction from choosing the receptionist's own model. RingCentral's platform REST API and its MCP servers, RingEX Phone, RingEX Chat and RingEX Admin at mcp.labs.ringcentral.com with OAuth 2 and published tool lists, reach the phone system around the receptionist: call logs, AI generated call notes and transcripts, extensions, roles and the answering rules that route calls to it. None of them creates or configures a receptionist, its skills, knowledge bases or context rules, which are managed only in the Admin Portal. | Testing, Debugging & Optimization | Partial |

A Test panel lets admins start a test chat and type as a caller would, or call the receptionist's number or extension, to hear how it greets, answers and routes before assigning it to live call handling. After launch, transcripts and analytics point to gaps that admins fix with one click improvements to responses. There are no scored test suites, simulated callers or release checks. | Browser / Computer-use | Not documented |
|
The receptionist works by voice and text through RingCentral's phone system, drawing on the company directory, its knowledge bases and connected Google or Outlook calendars, and it hands work to people through transfers and texts. It does not open a browser or desktop session to operate another application's screens, and the Admin Portal where it is configured is a tool for administrators rather than something the receptionist drives on a caller's behalf.
