Call Agent AI
Also known as: callagentai.com, CallAgentAI, Call Agent AI Web Agent
Call Agent AI sells an AI receptionist for US and Canadian small businesses that answers calls in more than 50 languages, qualifies callers, books appointments and updates customer records while the call is live. Native HubSpot, Zoho, Jobber and Cal.com connections handle contact matching, scheduling and follow ups, and outbound campaigns dial CRM lists. A separately priced Web Agent adds website chat and voice. Customers choose the language model, write business instructions and route complex calls to staff, on plans priced by included minutes or conversations.
CallAgentAI Inc., founded in 2020 in Oakville, Ontario by John Liberatore, sells hosted AI reception software to small businesses in the US and Canada. Its phone assistant launched in 2023, and website chat and WhatsApp followed in 2024. The assistant answers calls around the clock in more than 50 languages with regional accents, qualifies leads, books appointments and hands complex calls to staff, on an included US or Canadian number or through forwarding from the business's existing line. A setup wizard gets most accounts live in about 20 minutes, and a done for you setup is available.
Each assistant combines business instructions, a greeting, a chosen voice and model, uploaded PDF or Word documents, and rules for booking and escalation. During a call it matches the caller's number against the connected CRM and acts there. HubSpot connects per assistant over OAuth to create contacts for unknown callers, log call activities and summaries, write mapped outcomes to contact properties and supply lists for outbound campaigns. Zoho syncs leads, contacts, deals, Bookings and custom modules and can start Zoho workflows.
Jobber gives the assistant clients, properties, open slots, visits, quotes and balances, and lets it create clients, book, reschedule or cancel visits and leave call notes. Cal.com books across Google, Outlook and Apple calendars with buffers, minimum notice and round robin across staff. Webhooks send transcripts and structured results to Slack, Trello, Google Sheets, Zapier, Make or any endpoint. The separately priced Web Agent puts an assistant in a website widget for typed or spoken conversations, with bookings and Zoho CRM sync, and a WhatsApp chatbot covers text.
Voice plans cost $45 a month for about 90 minutes, $120 for about 750 and $225 for about 1,730, with Enterprise quoted from $0.10 a minute. The Starter card's $0.45 rate works out to 100 minutes, and the homepage still shows a $1,399 Elite plan that the pricing page replaces with custom Enterprise. Zoho costs $20 and webhooks $25 a month on Starter and Growth and are included on Pro and Enterprise; unused minutes roll over, and an automatic top up adds 20% of the allowance at 20% of the price when the balance falls below 20%. Web Agent plans run $19 for 300 conversations, $49 for 1,000 and $99 for 2,500.
Customers pick GPT 4o Mini, GPT 4o or GPT 4o Realtime, each drawing minutes at its own rate, and Gemini Live is offered for those who prefer Google. Data is encrypted in transit and at rest and backed up daily, healthcare customers can get HIPAA configurations with a BAA for enterprise clients, and SOC 2 sits at the ready stage with no completed audit. The backend runs on AWS with telephony on Telnyx, and there is no region choice or private deployment.
The product suits service businesses that want calls turned into booked work and updated customer records without assembling a telephony stack, and the native Jobber connection makes it a natural match for plumbing, HVAC, cleaning and other home service crews. HubSpot and Zoho users get list driven outbound campaigns with outcomes written back. Teams that need staff roles and single sign on, a completed security audit, a record of each action the assistant takes, saved test scenarios or an API for managing assistants will find those missing.

Integrations
OAuth connections to HubSpot and Zoho, and Jobber's sign in and allow flow, let the assistant read and update customer records during calls. Cal.com handles booking across Google, Outlook and Apple calendars. Outcome webhooks deliver transcripts and structured call results to Slack, Trello, Google Sheets, Zapier, Make or a customer endpoint. The website widget installs with an API key, and Pro and Enterprise list API access with no public reference.
In practice
A plumbing company connects Jobber so the receptionist identifies an existing client, checks open schedule slots and books a visit while returning a call note to the client record.
A sales team selects a HubSpot list for an outbound campaign and maps interested or callback requested outcomes to contact properties for the next follow up.
A clinic forwards evening calls to an assistant that answers from uploaded service information, offers Cal.com appointments and transfers urgent inquiries with context.

OAuth connections let each assistant recognize callers by phone number, create contacts for unknown callers, log call activities and summary notes on the HubSpot timeline, and write mapped outcomes such as interested or callback requested to contact properties, custom ones included. In Jobber the assistant reads clients, properties, open schedule slots, visits, quotes and balances during the call, then creates clients, books, reschedules or cancels visits and leaves a call note. Zoho syncs leads, contacts, deals, Bookings and custom modules and can start Zoho workflows, and Cal.com books into Google, Outlook and Apple calendars. Each assistant runs from one set of business instructions written as text: a greeting, qualification questions, booking limits such as minimum slot length or no same day bookings after a set hour, and escalation paths. Outbound campaigns dial through a CSV upload or a HubSpot or Zoho list and return each outcome to the CRM, and webhooks can pass a finished call to Zapier or Make for follow up. Branching beyond the prompt, coordination between several assistants and long running jobs all sit outside the product, in the customer's CRM workflows or automation tools. Owners upload PDF or Word documents with prices, hours, services and FAQs, and the assistant answers from them moments later; swapping in a new file is how an answer gets updated. Business instructions carry exact wording, such as parking directions or service details, and the limits on what the assistant may promise. Each assistant keeps its documents between calls. Sources are limited to uploaded files and typed instructions: a website crawl, a help center sync and a stated limit on how much material an assistant can hold are not part of it. Escalation rules decide which calls go straight to a person, for example a caller reporting a gas leak or flooding, and the staff member who picks up receives the conversation notes and the caller's sentiment with the transfer. Builders can confine replies to approved answers, limit which appointment times are offered and list the details to collect before a handoff, and the Web Agent can pass a visitor to a person or take a callback request. Bookings, CRM updates and follow up texts go through on the assistant's own judgment, with no review step before they happen. Sourcecallagentai.com/prompting-tipsread 2026-10-19 |

Call data is encrypted with TLS 1.2 or later in transit and AES 256 at rest, backed up daily with a four hour restore commitment, and kept under general access controls and regular security reviews. CRM links use OAuth that the customer can revoke, and healthcare customers can get HIPAA configurations, with a BAA for enterprise clients. SOC 2 sits at the ready stage with no completed audit, and the account has no named roles, single sign on or user provisioning that would show who on a customer's team can change an assistant or its connections. A dashboard gathers call recordings, live transcripts, AI summaries, sentiment, outcomes and searchable, exportable call history, and Growth adds advanced analytics. HubSpot timelines receive each call's direction, duration, status and recording link, and webhook payloads carry the assistant ID, extracted details and any booking made. What the assistant did inside a connected system, which lookup it ran or which field it wrote, has no step by step record, and the audit logging promised in the SLA is not something a customer can open and search. When a call comes in, the number is matched against HubSpot, Zoho or Jobber, so a returning caller is greeted by name with the service address, the next visit and any open quote or balance ready to discuss. After the call the transcript, summary and outcome go back onto that contact. Continuity therefore lives in the customer's CRM records; the assistant keeps no store of its own that remembers callers, with a stated retention period or a way to clear one caller's history. The service is hosted only: the backend runs on AWS with autoscaling, calls ride Telnyx's carrier network, and assistants connect through an included number, call forwarding or a website widget. No AWS region is named or offered as a choice, and there is no private cloud, customer tenant or on premises edition. A head office in Ontario and support for US and Canadian numbers say nothing about where recordings and transcripts are stored, and a direct SIP trunk connection is still marked coming soon. A setup wizard builds one receptionist from the business's details, voice, language and documents, and most accounts go live in about 20 minutes, with a done for you setup offered to those who would rather not configure it themselves. Prompting tips give example wording for escalation, intake, objections, booking limits and FAQ answers, and industry pages show the same receptionist set up for clinics, law firms and home services. Voice, Web Agent and WhatsApp are separate channel products; ready made specialist agents and reusable workflow templates to switch on are absent. Inbound calls arrive on an included US or Canadian number or by forwarding from the business's existing line, and the assistant picks up in under a second at any hour. Growth and higher plans add outbound campaigns that dial contacts from a CSV upload or from HubSpot and Zoho lists and write each result back. Website visitors reach the separately priced Web Agent by typing or speaking in a widget that runs on WordPress, Shopify, Wix or any site with one line of code, and a WhatsApp chatbot takes bookings and qualifies leads over text. The customer picks the language model along with the voice and language. Three OpenAI models form the pricing tiers, GPT 4o Mini for the lowest cost, GPT 4o for balance and GPT 4o Realtime for the most natural voice, while the entry plan cards name GPT Realtime Mini. Google's Gemini Live is offered as well for businesses that prefer Google's models, though the plan selector shows only the OpenAI tiers. Each model draws down the minute allowance at its own rate, so the approximate minutes on a plan shift with the choice. Sourcecallagentai.com/pricingread 2026-10-19 |

Webhooks push structured call data, including caller details, transcript, extracted information, appointment and assistant ID, to Slack, Trello, Google Sheets, Zapier, Make or a customer's own endpoint. They fire after every call, on missed calls only or only when an appointment is booked, and setup ends with a test send. The Web Agent installs with one line of JavaScript and an API key. Pro and Enterprise list API access, yet there is no endpoint reference, SDK or developer portal for creating or running assistants from outside the dashboard. Testing is manual. Builders place a test call from the dashboard, or from the product page before signing up, read the transcript and outcome, then adjust the prompt, booking limits or escalation instructions and call again until the assistant behaves. Webhook setup ends with a test send to confirm the destination receives its payload. Saved scenarios, automatic scoring of calls, side by side comparison of two prompt versions and a check that runs before a changed assistant goes live are not part of the product. Every action reaches other systems through an API connection: OAuth for HubSpot and Zoho, Jobber's sign in and allow flow, Cal.com scheduling and outbound webhooks. The website widget is a place for visitors to chat or talk, and the dashboard is where staff configure assistants. Screen level automation, such as filling in a web form or working a desktop application on the customer's behalf, has no part in how the assistant books visits or updates records. The Agentic Index coverage score grades every vendor Full, Partial or Not documented against the same 14 buyer facing capabilities, from public evidence only. Each capability links to how all vendors in the index score on it. How this evidence is graded
Pricing
Voice $45 a month for about 90 minutes; Web Agent $19 for 300 conversations
Voice minutes or website conversations, with a monthly subscription and automatic top ups
Included quota
Voice Starter about 90 minutes, Growth about 750, Pro about 1,730. Web Starter 300 conversations, Growth 1,000, Pro 2,500.
What is public
Voice and web plan fees, approximate included usage, integration charges and the automatic top up rule.
Billing mechanics
Monthly allowance with rollover voice minutes and automatic top ups; web usage counts conversations.
Cost watchouts
Zoho adds $20 and webhook connections $25 a month on Starter or Growth. Higher cost models consume allowance faster; connected CRM subscriptions remain separate.
Variable cost rationale
Automatic top ups, model dependent consumption and paid integrations can raise the bill beyond the starting subscription.
Additional watchouts
The advertised voice allowance varies with model choice and the entry plan's rate arithmetic is inconsistent.
Overage / add-ons
Extra usage bills at the plan's own per minute rate. When less than 20% of the allowance remains, an automatic top up adds 20% of the plan allowance for 20% of its price. The subscription renews every 30 days and unused minutes roll over.
Sales call required
Mixed (some tiers require a call)
Free / trial
Free trial without a credit card; duration and allowance unspecified.
Lowest paid plan
Voice Starter $45 a month; separately, Web Agent Starter $19 a month.
Commercial notes
A phone number is included and a free trial requires no card. Web Agent is purchased separately from the voice plans.
Key ambiguities
Starter combines $45, about 90 minutes and a $0.45 minute rate that do not reconcile. The homepage retains a $1,399 Elite plan while current pricing uses custom Enterprise. Model labels also differ between the plan cards and selector.
Cancellation / refund
Monthly plans can be canceled at any time without a cancellation charge; plan changes take effect at the next billing cycle.
Support SLA / resale
Enterprise includes an account manager and white label support. The SLA sets a 99.9% monthly uptime target and credit eligibility for Pro and legacy Elite plans.
Missing data
Enterprise total price, trial duration, model specific rate schedule and refund details.
